Welcome to Poologics!

Now let’s jump to it. Poologics’ onboarding is designed to simultaneously get the job done by training as we go. Our mission is for you to get you set up, acclimated, and started on our game-changing system as quickly and easily as possible. Here’s how we’ll do it:

  • The Kickoff Call: An Overview of the Setup

  • The Startup Call: a “Get your hands dirty” style of setup call

  • The Pool School: An account audit, team training, and a Q&A.


Good news!

We do ALL of this together. Your onboarding coach will hop into your account, share their screen, and pepper you with questions about your business, internal processes, and what you want to improve upon with your team. You’ll watch as they navigate through Poologics, set up the project templates, and discuss optimization and best practices. Together, we will work towards your final launch…so let’s get started!

Let’s kick it off.

 

Welcome aboard! Let’s get to it…

The first phase of the onboarding process is the kickoff call. Over this call, your onboarding coach walks you through what it means to be set up in Poologics. This call typically is about 30-45 minutes.

Goals:

  • Understanding how the modules fit together

  • A common language for modules and features in the application.

  • Prioritizing the things that will keep you from launch vs the things that are “nice to have” and can be added as you go.

  • A basic understanding of the templating architecture and how to update elements in the application

  • An understanding of how to invite your users to Poologics

Exit Criteria:

  • Scheduled the Startup Call

  • A list of what’s needed for the next call

  • Invited a user to the application

The Startup Call Overview

Let’s get our hands dirty. In this call, we seek to FINISH the customization of your account. The startup call is all about making Poologics yours. Be ready to be peppered with questions about your sales process, planning and construction stages, and agencies and their corresponding permits and inspections.

Good news — we do this with you! Your onboarding coach will share their screen and lead you through the modules customizing as we go. This accomplishes two goals: it gets the work DONE and teaches you the levers of how to set things up if you ever want to make changes to the templates or forms.

Creating The project Template

The project template is the foundation of nearly everything in Poologics. In the startup call, we build out your New Construction template. We’ll ask you questions like, “After you getting a contract signed, what happens next?.. then what? When do you purchase materials? Send out work orders? Apply for permits?”.. and before long, we are done setting up your planning stage. After that, we move onto the construction stage.

Bring to the meeting:

  • a project schedule

  • information about city permits and inspections. (Start with where you build the most pools)

  • The person who will be in charge of updating these schedules!


Capturing Leads from your Website

Poologics offers a lead form to put on your website! We need to customize it and make it yours before we send it to your website people. Once added to your webpage, submissions will drop into the lead section of Poologics! No double data entry.

Oh, and we also offer a form for warranty submissions. We’ll send this form to your website person as well.

To Do:

  1. Send the Lead and Warranty form to the website person

  2. If need be, connect them with the Customer Success Manager. He’s happy to help.

create your Sales Pipeline

During the startup call, we’ll create a custom lead pipeline according to how your office already handles its sales process.

To Do:

  1. Think about what happens after a new lead is received. Where are the hand-offs? What needs to happen?

Pool School and Launch

After the startup call, you’ll be free to start adding your data into Poologics. Start with your leads, then active projects, and then add vendors as you go. If you’re feeling particularly ambitious, import your closed/warranty projects.

Now that you have some data in the system and have had time to acclimate to the software, we’ll do some training with your team with an emphasis on the main use cases.

There will be a few points of emphasis on this call:

  1. Process: who will be responsible for what and who will hold them accountable? You know your business best — Even with Poologics, your business needs norms around how they handle sales, construction, and warranty-related tasks and events. Think about roles and responsibilities as we take new leads all the way through warranty.

  2. Communication and Source of Truth: Communication is both active and passive. Too much active communication is noise. Too much passive communication doesn’t produce a strong enough signal. With Poologics, we provide tools to get that balance right.
